48 hour Cancellation Policy

HOW 48-HOUR NOTICE WORKS

 

Due to the demand  for appointments, a fee of $100  will be automatically charged to an authorized card on file when you miss or cancel an appointment without giving 48 hours advanced notice. This means that if an appointment is scheduled for 3:00 pm on a Tuesday, notice must be given before 3:00 pm on Sunday at the absolute latest. Note that if your appointment is 9:00 am on a Monday, the cancellation needs to be provided before 9:00 am the prior Saturday, by your appointment time, to be considered proper 48-hour notice.  You can cancel your appointment by contacting your counselor directly, calling the main office during normal business hours or  logging into your portal.  

 

WAIT TIME/GRACE PERIOD

Your wait time is kept to a minimum. Due to the length of time provided for each appointment, it is critical that you arrive on time for your appointments.  If you are running late to a session, it is important to let your therapist know as soon as possible by sending them a secure message. Your Therapist will wait for you approximately 15 minutes before charging you a $100 fee and marking you down as a NO-SHOW or LATE CANCELLATION. To avoid paying no show or late cancellation fees, we require at least forty-eight (48) hours’ notice for all cancellations. Both therapist and client have a grace period of 15 minutes. 

 

MEDICAID OR MEDICARE CLIENTS

Please note that the fees described in this policy cannot be applied for clients with Medicaid or Medicare insurance. Thus, clients with Medicaid/Medicare insurance with two or more late cancellations within a six-month period or with respect to two consecutive sessions will result in immediate discharge and referral to outside of the practice. Clients who are unsure if they can commit to therapy weekly and or agreed upon time-frame will be referred  back to their referring physician and or another practice that better fits their scheduling needs; should there be any indication that the pattern will continue.

Only accessible to client 's who are  requesting to  reschedule  or cancel within the 48 hour cancellation window. All other's must contact the main office.
